Viewing
and Formatting Document:
Normal View: Normal view is the default view in word. It shows
the basic document and document. It also depicts type size, indent
and line specing. It does not show formatted columns, footers, header
or printing position..
Page Layout
view: Page layout view shows the text, columns, and graphics
as they will print. You also edit header and footer. To edit header
and footer, double click anywhere in a header or footer. A header
and footer toolbar is displayed.
Split Screen
View:
1. Point the small horizontal bar above the top of the vertical
scroll bar.(The pointer changes its shape).
2. Drag the split bar pointer down to divide the screen.
3. Release the mouse button.
4. To remove the second screen press "Alt+Ctrl+S"
Print Preview:
Print preview will help you to view either a full readable page
or an
Unreadable view of a page depending on your screen setting..
To print preview your document:
# Select Print Preview option from file menu or press "Ctrl+F2".Print
preview window will appear in the screen which is shown below:
Print preview window.
# Click on
the close button to shift the previous view.
Formatting
Text: To Change the font style and font you have to do the following:
1. Use the drop-down font list on the format toolbar as displayed
following :

2. Use underline,
Italics or bold button on the format toolbar.
Changing font Size:
To change font size, follow these steps:
1. Use the drop-down font size list on the formatting toolbar or
type the font size in the font size box on the format toolbar and
press Enter.
2. Shortcut method to change font size:
a. Ctrl+]-----to increase one point at a time.
b. Ctrl+[-----to decrease one point at a time
c. Ctrl+Shift+>--to increase by 10 points, 12 points, 14 points
and so on.
Formatting
Paragraph:
Spacing can be used to design your document and make it more readable
. The default spacing is single. Word enables you to change the
line spacing in your text. You can set spacing to single, double
or one and half lines.
To set this spacing , follow the steps:
1. Select the paragraph option of the formula menu.( the parafraph
dialog box gets invoked which is shown below )
2. Select the
indent and spacing tab.
3. select an option from the line spacing drop-down list.
4. Select a value from the At list box.
5. Click on OK button to close the dialog box.
Tab,Number & Bullet, Margin setting,
Create Column
Setting Tabs: Tabs are used for creating quick , relatively
simple lists. They can help you exchange word data with spreadsheets
and databases. Each paragraph in a word document can have same or
different tab settings.
Left tab: The text typed at these tab stop is positioned
at the left edge of the tab-stop.
Center tab: You can center your text around the center
tab-stop.
Right-tab: The right tab-stop positions whatever you
type to the right of the tab-stop.
Decimal tab: The decimal tab-stop align the numeric
columns on the decimal point and are used in preparing simple financial
reports.
Bar tab: The bar stop tab is used to create thin vartical
lines to separate columns. To display the bar tab-stop on the ruler
in the tabs dialog box..Click on the bar radio button in the alignmentbox
and then click the set button.
There are two ways of settings tabs in a document. You can set the
tabs by using the:
# Ruler
# Tab dialog box.
By using ruler:
Steps are given below:
1. Position the insertion point in the paragraph you want to format.
2. Click on the tab alignment button on the horizontal ruler bar
(Shown below)

3 Click on the place on the ruler bar where you want to set the
tab stop.
4. Click and drag the tab marker to a new position.
By using dialog box:
1. Select the tab option from the format menu. (the tab dialog box
gets invoke shown below)

2. Enter the
position where you want to position the tab in the tab stop position
box..
3. Click on the desired radio button on the alignment area.
4. Select any option from the leader box in the tab dialog box.
5. Click on the sat button in the tab dialog box.
6. Click on the OK button.
Adding Bullets
and Number:
By adding bullets and number you can highlight the portions that
you want to highlight .You can use bullets and number to make your
document attractive and easy to read.
The step to add bullets and numbers to your document are given below:
1. Type a list of your friends.
2. Select the bullets and numbering option of the format menu.
3. Click on bulleted tab in the bullets and numbering dialog box.
4. Choice a style and click on it..
5. Click on the OK button.
Setting Margins:
To change the margins of of your document, the steps are:
1. Select page setup from file menu.
2. Select margin tabs.
3. Enter margins height and width according to your need.
4. Click on Ok button. The page setup dialog box is shown below:

Creating Column:
Step to create a column using column dialog box are given below:
1. Select the column option from the format menu.
2. In the preset area , select the number of type of column you
want.
3. Use the number of columns increment box to add additional column.
4. Adjust the width of the column in the width and spacing area.
5. Click on the ok button to close the dialog box.
